Privacy Policy
This policy explains what personal data this website collects, why, and what happens to it. It covers this website only. Last updated 24 October 2026.
Who we are
This website is run by Open Source Arts Ltd. trading as Community Canvas, Unit 1A Aire Place Mills, 143 Kirkstall Rd, LS3 1JL. Open Source Arts Ltd. is the data controller for the personal data described here.
For anything about your data, email info@opensourcearts.co.uk or write to us at the address above.
What we collect, and only when you send it
The only personal data this website collects is what you type into the enquiry form on our contact page and choose to send:
- your name and email address (required, so we can reply)
- your phone number, if you give one
- your event date, number of guests, event location or postcode, and the type of marquee you are interested in, if you give them
- your message
We use these details to reply to your enquiry, to check availability and to give you a quote. If you go on to book, we use them to arrange the hire. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in answering enquiries.
If you email or phone us directly instead, we use what you send us in the same way.
How your enquiry reaches us
When you press send, the form goes to a small program on our hosting service (Vercel), which checks it and passes it to our email delivery provider, Resend. Resend delivers it as an email to our inbox, hello@communitycanvas.org.uk. Neither Vercel nor Resend uses your enquiry for its own purposes; they process it on our behalf.
To stop automated spam, the program briefly counts how many enquiries arrive from the same internet address. That count is held in memory for up to an hour and is not stored or linked to your enquiry.
Hosting and server logs
This website is hosted by Vercel Inc. Like any web host, Vercel records technical information about each request to the site, such as your IP address, browser type, the page requested and the time, so the site can run securely. These logs are kept for a short period and are not used by us to identify you.
Vercel, Resend, Google and Microsoft are based in, or process data in, the United States, so data may be processed outside the UK. Each provides data processing terms that include safeguards for transfers from the UK.
Cookies and analytics
We use two tools to understand how the website is used. Neither is used for advertising, and we have switched off Google’s advertising features in every case.
Google Analytics (on unless you decline)
Google Analytics 4, from Google, counts visits and the pages people use, so we can see what works on the site. It looks at behaviour, not at anyone personally: we have it set not to use Google signals or advertising features, and IP addresses are not stored. It sets cookies whose names begin _ga. UK law allows this kind of statistical measurement without asking first, provided we tell you and you can say no. You can: press Decline on the cookie notice, or use “Cookie choices” at the foot of any page, and Google Analytics stops and its cookies are removed.
Microsoft Clarity (only if you accept)
Microsoft Clarity records how pages are used — clicks, scrolling and where people get stuck — so we can fix pages that work badly. It runs only if you press Accept. It masks what you type into forms, sets cookies whose names begin _clck and _clsk, and you can turn it off again at any time with “Cookie choices”.
What the website keeps in your browser
- your cookie choice (
cc_cookie_consent), so we do not ask on every page; - how you first and most recently found the site — the page you landed on, the site that linked to it and any campaign tags in the link (
ccFirstTouch,ccLastTouch). These stay in your browser and reach us only as part of an enquiry you choose to send; - a one-time reference for your enquiry (
ccLeadPending), removed as soon as the thank-you page has used it to count the enquiry once.
Our fonts and images are served from this website itself. The link to our location opens Google Maps; once you follow it, Google’s own privacy policy applies.
We use Google Search Console to see how the site appears in Google search results. It reports figures from Google’s own search data, such as how often a page was shown or clicked, and places nothing on your device.
How long we keep it
We keep enquiry emails for as long as we need them to deal with your enquiry and any booking that follows. Unless still required for that purpose, we remove personal information from our records six years after the date it was collected, or sooner if it is no longer needed.
Who else sees it
We do not sell your details or share them with anyone for marketing. The companies that process data for us are Google (Google Analytics and Search Console), Microsoft (Clarity, only if you accept), Vercel (hosting) and Resend (email delivery). Beyond them, we only share personal data where the law requires us to.
Your rights
You can ask us for a copy of the personal data we hold about you, and ask us to correct it, delete it, restrict how we use it or stop using it. Email info@opensourcearts.co.uk and we will respond within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.
